Overview

Payment is made for accounts payable that is processed and offset against prepayments and contra positional debts.

At the beginning, you should check the available cash flow limit for payments. Issues identified with cash flow limits available need to be escalated.

Analysis of accounts payable allows you to determine items for which payment requests need to be created.

Payment requests are created based on the AR/AP object: vendor invoice, purchase order, or contract. All payment data is automatically filled in from the reference document.

In some cases, payment for multiple accounts payable objects are initiated. To do that, new lines of accounts payable objects are added manually in the payment request.

Finally, payment requests are posted, and the relevant amount of cash flow limits are consumed.

As a result of the process, the payment requests are created, initiating outgoing payment.

How to check available cash flow limits

1. Go to Treasury, click Treasury reports, then click Cash outflow limits under Cash forecasting.

2. In the report, select Period, select Company, and click Generate.

3. Find the Cash flow item relevant to the required payment, then check value in the Available column.

4. Escalate issues identified with cash flow limits available.

How to check accounts payable pending payment requests

1. Go to Purchasing, click Purchasing reports, then click Vendor payables under Vendor AR/AP.

2. In the report, click Settings.

3. In the settings, select Advanced mode, then click Filters tab, select Company, select Vendor.

4. Click Structure tab, select AR/AP object element, click Close and generate.

5. Check figures in the Payables and Being paid columns. Being paid amount reflects the amount stated in the generated payment requests. 

6. Find and open the AR/AP object document pending creating payment requests.

How to create payment requests for accounts payable

1. In the Vendor invoice or Purchase order document, click Generate and select Payment request.

2. In the Payment request document, click the Main tab, check data filled in automatically, select Bank account, select Planning currency

3. Click the Payment details tab, check the Amount in currency of the document, AR/AP amount, Currency, VAT rate, VAT amount in currency of the document, Cash flow item.

How to add accounts payable in payment requests

1. In the Payment request document, click the Payment details tab, then select the As a list view mode, and clear lines.

2. Click Select open item.

3. In the AR/AP object picking form, select relevant accounts payable, then click Add to document

4. Check data filled in automatically.

How to post payment requests

1. In the Payment request document, set the Priority.

2. Set the Opened status.

3. Select Over limits, if the document amount is exceeded available cash flow limits.

4. Post the document.
