Overview

Physical inventory count is a regular procedure. The schedule is determined by the inventory management policy of the enterprise. Inventory count might be caused by both planned or unplanned cases. For instance, if errors are registered during warehouse transactions, the system will automatically include such storage bin in the waiting list for the physical count.

After all organizational preparations have been made, the first step of the inventory count process is to populate count sheets with system inventory data. Data from the system can be copied to count sheets using a special wizard. The wizard helps you to deal with lots of items and storage locations, creating separate count sheets at the warehouse, wareroom, or bin level. The inventory selection settings can be saved and used to regularly fill out counting sheets. 

Manual filling of count sheets are useful for custom random inventory.

As the process result, system inventory data is saved in count sheets.

How to fill inventory count sheets with system data using the wizard

1. Go to Warehouse and delivery and then click Inventory count sheets under Surplus, shortage, stock quality change.

2. In the Inventory count sheets workplace, select a Warehouse or a Wareroom.

3. Click Generate inventory count sheets.

4. Select the all bins regardless of stock balance option to process all storage bins.

5. Select the apply all conditions option.

Note

For other specific cases, select Apply selected conditions only and one of the following options:

  • Storage bins with registered picking (put-away) errors. If an error is registered during warehouse transactions, the system will automatically include such storage bin in the list for physical count.
  • Storage bins are due for counting. Documents will be created automatically in accordance with the inventory count sheet generation settings for the warehouse.
  • Storage bins with negative stock. The system will generate a count sheet for storage bins having accounting errors related to negative balance.

6. Set additional conditions for filtering, depending on the case.

7. Select the option to Divide documents by Warehouse areas or Number of bins, if it is required.

8. Click Create jobs.

9. Find the list of Inventory count sheet documents created, open them and check header and item data.

How to fill inventory count sheets with system data manually

1. In the Inventory count sheets workplace, click Create.

3. In the Inventory count sheet document, click the Main tab, select the Warehouse and Wareroom, specify the Assignee.

4. Click the Goods tab, open the Filter field and set the filters, then click Fill in by filter.

5. Check the data: Storage bins, Items, Book quantity.

Note

Goods can be accounted for in several units of measure. So the table form (lines) also contains packages, if it is applicable.

6. Set the Prepared status, and Post the document.
