Overview

Usually, enterprise policy establishes an internal control procedure before publishing or sending documents to a counterparty.

The policy defines exceptions, in which case you can skip this additional internal approval manually.

But regularly, it requires additional internal approval. The approval process starts with the use of enterprise process templates. Within this process, the initiator regularly monitors the progress. Once the approver receives the task, they can forward it to his team member, approve, or reject it. At the end of the process, the initiator closes it.

As a result of the process, the internal approval process completed or failed, stakeholders are informed about the results.

How to skip internal approve process

1. Open a document for which an approval process is supported.

Note

Approval processes are supported for the following system documents:

  • Price setup
  • Sales order
  • Sales return request
  • Sales quotation
  • Standard Terms of sales
  • Special Terms of sales
  • Purchase order

2. In the document, evaluate the data for completeness and correctness.

3. Review the corporate approval policy and other requirements for the approval exemption process.

4. Set the next status, and post it.

Note

The status depends on the system document. For example, Pending approval in the Sales order.

5. Inform stakeholders about the internal approval results.

How to start the approval process

1. Open a document for which an approval process is supported.

2. In the document, click the Approval tab, then click Create.

3. In the Business process document, describe task Details.

4. Specify an Approval due date.

5. Select the Priority.

6. Start the business process.

How to monitor a running business process

1. In the Business process document, click the business process flowchart icon.

2. Review the approval process. It is a tree of tasks, assigned automatically to the predefined roles.

Note

The following roles are predefined in the system:

  • Approver of sales commercial terms
  • Approver of sales logistics terms
  • Approver of sales financial terms
  • Approver of sales price terms
  • Approver of purchase commercial terms
  • Approver of purchase logistics terms
  • Approver of purchase financial terms
  • Approver of purchasing prices

3. In the Business process document, click Reports → Approval result.

4. In the Sale approval results report, evaluate the current status of the process completion. 

How to forward a task

1. In the document, click the Approval tab, select the business process, then click Tasks.

2. Find the task pending approval, open it.

3. In the Task document, click Forward.

4. In the Forward task form, select a new Assignee, enter your Comment, and click Forward.

How to approve a task

1. In the Task document, read the instructions.

2. Click the Subject hyperlink, view and evaluate the document data.

3. Click other hyperlinks to evaluate the additional information.

4. Enter your comments in field Job result, and click Approve.

How to reject a task

1. In the Task document, read the instructions.

2. Click the Subject hyperlink, view and evaluate the document data.

3. Click other hyperlinks to evaluate the additional information.

4. Enter your comments in field Job result, and click Reject.

How to close the approval process

1. In the Task document, final in the business process, read the instructions.

2. Review Approval progress log.

3. Enter your comments in field Job result and click I have read and understood.

4. Open the approval document, check if the system automatically transferred it to the next status.

5. Inform stakeholders about the internal approval results.
