Overview

The manager settled the customer's complaint by providing the customer with compensation, instead of goods return.

A sales adjustment is issued to the customer in all cases, other than goods return, and linked to the invoices issued earlier.

The reducing amount must be specified according to the corporate compensation policy, and customer's complaint resolution.

The accounts receivables and payables records are carefully checked after posting the system document.

Finally, the credit note is printed out and sent to the customer.

As a result of the process, a sales adjustment is issued and sent to the customer.

How to create sales adjustment linked to customer invoice

1. Go to Sales, then click Sales documents (all) under Sales management.

2. Click Create → Sales adjustment → Receivables decrease (lump sum).

3. In the Sales adjustment document, select Customer, select Counterparty.

4. Click the Currencies hyperlink. In the Document currency and exchange rate form, select the currency of the Document amount and the AR/AP amount.

5. Click the More tab, then select the Taxation → Sale is subject to VAT, select the Business unit.

6. Click the Receivables decrease tab, click the Pick documents.

7. In the Pick sales documents form, review the list of invoices and select the relevant one.

How to define sales adjustment amount

1. In the Sales adjustment document, click the Receivables decrease tab.

2. Select the line, then click the Fill in reduction amount → Calculate by interest, enter percentage.

Note

The following entering option is also available:

Click the Fill in decrease amount → Allocate amount to all lines, enter Adjustment amount.

3. Select the VAT rate.

4. Check the Decrease amount and Decrease VAT amount columns. Change the value, if it is required.

5. Select the line, then select the specific Business unit.

6. Select the line, then click the Fill in adjustment reason, enter the reference information.

7. Post the document.

How to check AR/AP open items

1. In the Sales adjustment document, click the Receivables decrease tab.

2. Double-click the Customer invoice document reference to open it.

3. In the Customer invoice document, click the Amount paid hyperlink.

4. In the Customer AR/AP breakdown report, review the transactions for the relevant AR/AP object.

5. Find the adjustments amount, then check final payable and receivable amounts.

How to send credit notes to customers

1. In the Sales adjustment document, click the Print → Credit note.

2. Review the print form, print it out or save it to file, then send to the customer.
